Privacy notice
Effective {{ ACE: }}
The short version
- WanderBids is getting ready to launch. Trip briefs open with our pilot, planned for November 2026. Until then, this website takes applications from travel agencies and messages through our contact form.
- We use what you send us to reply to you and, if you apply as an agency, to assess your application and check your licence or accreditation.
- We don’t sell or rent your personal information, and we don’t pass it to travel agencies.
- Our website platform records which of our pages a browser visits, and adds those visits to your record if you send us a form. We don’t use analytics or advertising tools.
- We never ask for passport numbers, card details or health information on this website.
- We send marketing emails or WhatsApp messages only if you tick the box for them.
- You can ask to see, correct or delete your information at any time: {{ ACE: }}.
1. Who we are
WanderBids is a product of {{ ACE: }}, registered in {{ ACE: }} under number {{ ACE: }}, with its registered address at {{ ACE: }}. {{ ACE: }} decides how your personal information is used for WanderBids and is responsible for it. In this notice, “WanderBids”, “we” and “us” mean {{ ACE: }}.
Our data protection officer is also the person in charge of protecting personal information: {{ ACE: }}. Contact: {{ ACE: }} · {{ ACE: }}.
2. What this notice covers
This notice explains how we handle personal information when you:
- visit this website;
- apply as a travel agency or use our contact form; and
- email us, or hear from us by email, phone or WhatsApp.
Trip briefs aren’t open yet. Before they open, we’ll update this notice to explain how we handle them, and you’ll be able to read the update before you send a brief.
3. What we collect
| When you… | We collect |
|---|---|
| Visit the website | Technical details your browser sends, such as your IP address, browser and device type, which our website platform receives to deliver and protect the site. A record of which of our pages your browser visits (see section 12). Your cookie choices, if you save them. Our pages load fonts from Google, so Google receives your IP address too. |
| Apply as a travel agency | Agency name, contact person, your role (optional), work email, mobile or WhatsApp number, where the agency is based, licence or accreditation number and issuing body, destinations, where your clients are based, specialties, years operating, typical trip value, team size, website (optional) and how you heard about us. |
| Use the contact form | Your name, email, what your message is about, and your message. |
| Send any of the forms on this website | Your answers to the form’s boxes, with the date, time and wording version you saw. The country and time zone our platform records for you, worked out from your connection and browser. Details of the link that brought you, if it had any (for example its source, medium and campaign name), the website that sent you and the first page you visited. Signals that Cloudflare checks to stop spam and bots (see section 5). |
| Email or message us | Your messages and our replies. |
Fields marked as required on each form are needed to handle your request. Everything else is optional.
What we don’t collect. We never ask for passport numbers, card or bank details, or health information on this website. Please don’t type them into any form or message.
4. How we use it, and why we’re allowed to
| What we do | Why we’re allowed to |
|---|---|
| Reply to your message and keep a record of our conversation | To do what you asked |
| Assess agency applications, check licences and accreditations with the body that issued them, and contact applicants about their application by email or phone | To do what the applicant asked, and our legitimate interest in working only with vetted agencies |
| Contact you on WhatsApp about your application | Your consent (a separate, optional box) |
| Send you news and updates by email | Your consent (a separate, optional box) |
| See which links, channels and pages bring people to WanderBids, using link details, your answer to “How did you hear about WanderBids?” and page-visit records | Our legitimate interest in running WanderBids |
| Keep the website and forms safe, stop spam and bots, and fix problems | Our legitimate interests |
| Keep records of your choices and meet our legal duties | Legal duty |
“Legitimate interests” means we have a fair business reason that we’ve balanced against your rights. Which reasons apply depends on the law where you live. Where a law requires your consent, we ask for it.
Changing your mind. You can withdraw any consent at any time, as easily as you gave it: email {{ ACE: }}, click “unsubscribe” in any marketing email, or reply STOP on WhatsApp.
5. Who we share it with
Licensing and accreditation bodies. When we check an agency’s licence or accreditation, we may share the agency’s name and its licence or accreditation number with the body that issued it.
Our service providers. They work for us, or for our website platform, and may use your information only to provide their services, except where the table says otherwise.
| Provider | What they do | Where |
|---|---|---|
| HighLevel LLC (GoHighLevel) | Website hosting, forms and our customer records system | United States |
| Cloudflare (Turnstile), used by our website platform on our forms | Tells people and bots apart, to stop spam. Cloudflare says it also uses these signals to improve its bot detection, as a controller in its own right | Cloudflare’s global network |
| Google (Google Fonts) | Delivers the fonts on our pages. Your browser sends Google your IP address when it loads them | Google LLC, United States |
| Our email provider | Stores the emails you send us and our replies | See section 6 |
| WhatsApp (Meta) | WhatsApp messages, only if you ticked the WhatsApp box | As set out in WhatsApp’s own privacy policy |
We don’t use analytics or advertising providers at the moment, and we don’t send personal information from this website to an AI provider (see section 13).
Others, only when needed. Our professional advisers (such as lawyers and accountants), who must keep it confidential. Authorities, when the law requires us to. And another company, if WanderBids is moved into another company in our group or sold; we’ll tell you before your information moves, and it will stay protected as this notice describes.
We don’t sell or rent your personal information.
6. Sending information to other countries
{{ ACE: }} is registered in {{ ACE: }}. Our website platform is in the United States, and our other providers may work from other countries. So your information will usually be stored and used outside the country where you live.
Our providers handle it under their own terms and privacy policies; HighLevel’s terms include a data processing agreement. Information held in another country may be accessible to courts, law enforcement and national security authorities there. To learn more, contact {{ ACE: }}.
7. How long we keep it
| Information | How long we keep it |
|---|---|
| Agency applications we don’t accept | 12 months after our decision |
| Details of agencies we work with | For as long as we work together, and then only as long as we need for our records or the law requires |
| Contact form messages and emails | 12 months after we close the conversation |
| Marketing list | Until you unsubscribe. Then we keep only your email address on a “do not contact” list. |
| Records of your choices on our forms | As long as we rely on your consent, and 2 years after that, so we can show what you agreed to |
| Page-visit records, country and time zone attached to your record | As long as we keep that record |
| Technical logs kept by our providers | For the periods our providers set |
We may keep information longer if the law requires it, or to deal with a dispute.
8. How we protect it
We use safeguards that suit how sensitive the information is. They include:
- access limited to the people who need it;
- encrypted connections (HTTPS) on this website;
- bot and spam protection on the forms on this website; and
- never asking for passport, card or health details on this website.
No website or system is completely secure. If a data breach is likely to harm you, we’ll tell you and the relevant regulators as the law requires.
9. Your rights and choices
Depending on where you live, you can ask us to:
- tell you what information we hold about you and how we use it, and give you a copy;
- correct it;
- delete it, or stop using it;
- stop using it for marketing;
- withdraw any consent you’ve given;
- give it to you or to another organization in a common electronic format; and
- explain any decision about you made by automated means. We don’t make decisions about you by automated means.

10. Children
Our website and forms are for adults. You must be 18 or older to apply as a travel agency. We don’t knowingly collect information from children. If you think a child has sent us information, contact us and we’ll delete it.
11. Health and accessibility information
We don’t ask for health or accessibility information, and the forms on this website have no field for it. Please don’t include it in a form or message. If you’ve sent it to us by mistake, tell us and we’ll delete it.
12. Cookies and page-visit records
We use necessary cookies to run the site and its forms, keep them safe and remember your cookie choices. We don’t use analytics or advertising cookies at the moment. If we add them, they’ll stay off unless you turn them on with “Cookie settings” at the bottom of every page.
Our website platform, HighLevel, records which of our pages a browser visits. If you send us a form, it adds the visits from that browser to your record with us. We use this only to understand how people find and use WanderBids. Cookie settings can’t switch this off at the moment; you can block or delete cookies and site data in your browser. See our Cookie notice.
13. AI
We don’t use AI on the personal information you send us through this website or by email: people read and handle agency applications and messages. When trip briefs open, we’ll use Claude, an AI model made by Anthropic, to help organize briefs and draft comparisons, as How WanderBids uses AI explains, and we’ll update this notice first.
14. Changes to this notice
This is an interim version. We’ll update it after legal review and before trip briefs open, and show the new date at the top. If a change materially affects how we use information you’ve already given us, we’ll tell you by email before it applies, and ask for your consent where the law requires.
