How we vet agencies, compare proposals and use your data

You’re sharing your dates, your budget and your plans. You should know exactly who you’re dealing with. Here’s how WanderBids works, what we check, what we don’t do, and what happens if something goes wrong.

This page explains how WanderBids works. It doesn’t replace our Terms of use, Privacy notice or How we use AI.

Who does what

WanderBids introduces you to vetted agencies, matches your brief with up to three of them and compares their proposals side by side.

Agencies plan your trip, sell it to you, book it and provide it, under their own terms.

We don’t sell, book or provide travel, and we’re not a party to any booking between you and an agency.

Every agency is vetted before it receives a request

We send your brief only to travel agencies that are licensed or accredited where they operate and that have passed our checks:

  • a licence or accreditation in the agency’s home market
  • business registration
  • references
  • a test brief, to check response time and the quality of the proposal

We keep each agency’s licence, accreditation and any insurance or bonds on file and track when they expire. Agencies also agree to our service standards, including aiming to send a first proposal within 48 hours of receiving a request and keeping prices valid for at least 7 days.

The licences and accreditations we check

Where the agency is basedWhat we check
PhilippinesAccreditation with the Department of Tourism (DOT)
SingaporeTravel agent licence from the Singapore Tourism Board (STB)
CanadaProvincial registration, such as TICO in Ontario
New ZealandBusiness registration; TAANZ membership preferred

You can ask us which body licenses or accredits any agency matched to your trip.

Payments and deposits during the pilot

This website doesn’t take payments or deposits. If you decide to book, you pay the agency you choose directly, including any deposit, under that agency’s terms and payment methods.

Each agency sets its own prices, inclusions, deposit and payment schedule, and cancellation and refund rules. Read the agency’s proposal and booking terms carefully before you book.

We’ll update this page before WanderBids handles any deposits.

How proposals are compared

Agencies send proposals in their own format. Claude, the AI model we use, reads each one and drafts a comparison card with the key facts:

  • price per person and in total
  • what’s included and what isn’t
  • hotels and flights
  • deposit, balance due date and cancellation terms
  • how long the price is valid

It points out the differences in plain words, for example: “Proposal B doesn’t include airport transfers.” A team member checks each comparison against the agencies’ proposals before we send it to you.

How we compare: on how well each proposal fits your brief (your must-haves, what’s included and the timings) and on the agency’s response time. Never on price alone.

What counts: our comparison is there to help, but the agency’s own proposal is what counts. If anything in our summary differs from the agency’s proposal, the agency’s proposal applies. Please tell us so we can fix our summary.

Your data and AI, in plain words

What we ask for: your contact details and your trip brief: dates, group, budget and must-haves. We never ask for passport numbers, card details or health information on this website.

Who receives your brief: up to three matched agencies receive your trip brief and your name, email and phone number, but only if you tick the box that lets us share them. They never receive how you heard about us or your marketing choices. We’ll tell you which agencies received your brief.

How agencies may use it: under our agreement with them, only to prepare and discuss a proposal for your trip. If you book, the agency’s own terms and privacy notice also apply.

How we use AI: we use Claude, an AI model made by Anthropic, to help organize your brief and draft comparisons. We don’t send it your name, email, phone number or accessibility needs, and never passport or card details. AI processing may take place in the United States or other countries.

Who decides: people choose the agencies and check every brief and comparison. Agencies sign off every price. No decision about you is made by AI alone.

Prefer a person? Ask us to handle your request without AI, and we’ll do it where we can.

Knowing when it’s AI: there’s no AI chat on this website. If you ever talk with an AI rather than a person, it will tell you it’s an AI.

Your information is yours: we don’t sell or rent your personal information. You can ask to see, correct or delete it at any time: {{ ACE: }}.

If something goes wrong

Travel doesn’t always go to plan. Here’s what to do if it doesn’t.

Before you book: if a proposal looks wrong, or our comparison doesn’t match the agency’s proposal, tell us before you book.

After you book: contact your agency first. It sold you the trip and is responsible for your bookings and for delivering your trip. If you can’t sort it out together, email us at {{ ACE: }} and we’ll try to help.

Payments and refunds: your payment, any deposit and any refund are between you and the agency, under its terms.

Concerned about an agency? Email us at {{ ACE: }} with “Agency concern” in the subject line, or use the contact form, and we’ll look into it.

What we can’t promise: we can’t promise that any agency, or three agencies, will send a proposal, that proposals will arrive within 48 hours, or that they’ll fit your budget, dates or must-haves. We don’t control agencies’ prices, availability or suppliers. Vetting lowers risk, but it can’t remove it.
